Aqua Tots Westchester Policies

1. Refund / Drop Out Policy

  • Aqua Tots Westchester ONLY offers medical refunds.
  • Medical refunds are only given to students who suffer from a physical medical condition that prohibits swimming.
  • A doctor's note is required.
  • You will only be refunded for the number of classes left, after the parent notifies us in writing, (by: fax, email, or a written note) that the child will need a medical drop out.
  • Once you have received a refund for your child he/she is no longer considered a "current" student in our program. He/she will NOT retain their spot for future sessions.
  • We will try to get medical drop outs back into a class, but we cannot guarantee a spot since we will have likely filled your "old" spot.
  • You may not "freeze" your enrollment or get credits toward future sessions.
  • Refunds will have a $20 processing fee deducted from them.
  • Aqua Tots does not offer refunds or credits for missed classes even if there is medical reason for the missed classes.

    2. You may not request specific teachers

  • We run group lessons, and the students rotate through all of the instructors. Every student will have to work with every teacher, both male and female. All of our teachers are trained the same way and every teacher will be updated on the students he or she is taking that day.

    3. Re-registration

  • In order to retain your child's spot each session you must register on time. If you fail to pay or notify us that you want to continue you may lose your spot. Payment plans are available.
  •  

    4. Make up policy

  • Aqua Tots Westchester does not guarantee make ups for missed classes.
  • We have limited pool rental time, and most of our classes are booked to capacity.
  • We will try to schedule individual make ups when possible (see below for how to schedule). 
  • Aqua Tots does not guarantee make ups for classes cancelled due to severe weather.
  • If there is a pool malfunction or a water contamination issue that cause a pool closure, we will offer you a rescheduled class day/time.  If we are unable to reschedule a make-up you will be given $20 in "Aqua Bucks" which can be used to purchase any of our merchandise.
  • How do you schedule a make up?

    -Email us 24 hrs or more before your child will miss his/her class if possible. (day of absence if 24 hrs notice NOT possible)

    -Please include, in your email, the following: Subject Line- Attention Absence / Body of Email- Child's name, class day/time, date of missed class, & then please list possible days/times when your child is available for a make up.  Please refer to our "Full Class Schedule" found on the Our Programs page of this web site when listing alternate class make up times.  Be sure to list every available option for the best chance of success (list them in order of preference).  Your options do not necessarily have to match your child's current class level but when possible, that is helpful.  From 3:30 to 5:00 we cannot accommodate any parent/child make-ups or 2 1/2 - 3 yr old make ups, sorry.  

    - In some cases we will be able to give a week's notice for a make up time but in most cases you will be offered an alternate make up time with only 24 hrs notice.  This offer will come via email so if anyone does NOT have a smart phone to check emails frequently please indicate that in your make up request email.  When possible we will try calling you if there is a make up available for your child.  Be sure to include the best phone # to reach you at if you do not have a smart phone.  

    - We will only attempt to schedule ONE make up per student (TWO if in a 2x a week class) per session.  If your child will be absent for multiple classes due to a long-term illness or injury please contact us ASAP. 

  • 5. Aqua Tots reserves the right to change the class schedule at any time.

  • If we cannot place you in another class we will refund your money.

    6. Viewing your child's class

  • If your child is in a 2.5 to 3 year class you may watch from the pool deck, unless it interferes with your child's separation or swimming.
  • For all other classes parents or caregivers must watch from the upstairs viewing deck.
  •  

    Facility Rules

    1. No Shoes On Deck

  • The Board of Health regulates that you are not to wear shoes on a pool deck. Shoes worn "outside" carry germs and dirt. It is unhealthy and unfair to subject the children and the teachers to these germs.
  •  

    2. No Viewing class from the upstairs lobby area (where snack machines are)

  • This is a College rule. We are not allowed to use that lounge area. If you are too hot to watch from the viewing deck you should wait in the locker room.
  •  

    3. No Food on Pool Deck or in the Locker Rooms

  • Board of health rule. Food brings bugs and rodents. All eating should be done on the upstairs viewing deck. We also ask that you NEVER bring nuts or nut products of any kind to this facility as we have several students who are severely allergic.
  •  

    4. Boys over the age of 5 are NOT allowed in the women's locker after 3:30.

  • This is a College rule. The women's locker room is not a family changing room. From 3:30 on there is a male locker room attendant in the boys' locker room to supervise.
  •  

    5. All female swimmers 2 ½ and older must bring and wear a bathing cap.

    6. No regular diapers are allowed in the pool. Only swim diapers.

    7. If you are a male, bringing a female swimmer over the age of 5 to class, you may NOT use the Men's Locker Room.  Please email us so we can make other arrangements for you to change your child.
